TERMS & CONDITIONS 

1. RENTAL STRUCTURE & ACCESSORIES
The Company agrees to rent to the Renter a mobile wood-fired barrel sauna unit mounted on a custom trailer (the "Equipment") plus standard operational accessories (including but not limited to: a 50-ft heavy-duty outdoor extension cord, sauna bucket & ladle, wall thermometer, mounted ABC fire extinguisher, wood access stairs, exterior mat, trailer hitch lock, wheel chocks, leveling jacks, cordless vacuum, fire poker, and an initial supply of split hardwoods/firestarters).

2. ADVANCED RESERVATION & CANCELLATION RULES
- 14+ Days Prior to Delivery: 100% refund of base rental fees minus a $50 administrative processing fee.
- 7 to 13 Days Prior to Delivery: 50% refund of base rental fees.
- Less than 7 Days Prior to Delivery: Rental fees are non-refundable. Bookings may be rescheduled once within 6 months, subject to calendar availability and a $100 rebooking fee.
- Extreme Weather: If extreme wind speeds exceeding 80 km/h, blizzards, or local road closures prevent safe vehicle transit, the Company reserves the right to reschedule delivery for mutual safety.

3. SITE ACCESS, CRITICAL UNDERWRITING & SETUP REFUSALS
The Renter warrants that the delivery site is stable, level, compacted ground (concrete, asphalt, hard-packed gravel, or dry level earth) and that they own the property or have explicit written authority from the property owner.
- Site Metrics Requirement: Minimum clear access path width of 10 feet 6 inches, overhead vertical clearance of at least 13 feet (clear of low wires, trees, or roof eaves), and a total level parking footprint of 22 feet long.
- UNSAFE SITE REFUSAL & FEE FORFEITURE: If our delivery team arrives and determines, in its sole discretion, that the site or access route is unsafe or unsuitable due to undisclosed obstacles, excessive slopes, soft/muddy terrain, or unplowed/unsalted winter conditions, the Company reserves the absolute right to refuse setup and withhold delivery. In this event, the Renter agrees to a FULL FORFEITURE of all rental fees and delivery charges. The $1,000 security deposit will be released in full provided no driver/vehicle damage occurred.

4. EXTENDED $1,000 SECURITY DEPOSIT & CARD HOLD HOLDING POLICY
- Hold Structure: A mandatory security deposit of $1,000 CAD is required for all reservations. This hold is processed via credit card pre-authorization or cleared funds prior to vehicle dispatch. By checking these terms, you explicitly authorize Stripe to lock these funds on your card for up to 30 days to cover the duration of your rental.
- Release Window: Following retrieval and a successful post-rental inspection by Company staff verifying zero asset damage, fully cold stove cool-down, clean interior, and all accessories accounted for, the hold will be released within 24 to 48 hours.
- FULL $1,000 IMMEDIATE DEPOSIT FORFEITURE EVENTS: The deposit shall be immediately captured and forfeited (with additional billing enforced if damage values exceed $1,000) for any of the following specific infractions:
1. STRICT NON-MOVEMENT VIOLATION: The trailer is positioned, leveled, and locked exclusively by our staff. Renter is strictly prohibited from hitching, towing, moving, or altering the trailer's location. Any unauthorized relocation or towing attempt results in immediate $1,000 forfeiture.
2. CHEMICAL CORROSION / STONE DAMAGE: Pouring sea water, pool water, chlorinated water, or alcohol onto the hot stove stones. Only clean water mixed with 2-3 drops of approved essential oils may be used.
3. COMPONENT PLUMBING FREEZING VIOLATION: Operating the waterfall shower or pot filler during frozen winter months (Mid-October to May). Connecting a hose system during freezing windows causes structural plumbing bursts.
4. IMPROPER STOVE FUEL USE: Burning pressure-treated wood, garbage, plastics, cardboard, or softwoods with high sap content. Overloading the firebox causing severe thermal overheating beyond 100°C (212°F).
- PARTIAL DEPOSIT DEDUCTION PENALTIES:
- Returning the unit uncleaned or with stained wooden benches (failure to cover benches with clean towels during use): $150 cleaning fee.
- Failure to allow the wood stove to cool down completely prior to scheduled pickup, delaying our retrieval driver: $150 late-cool fee.

5. LIABILITY WAIVER, TOTAL RELEASE & PROPERTY EXCLUSIONS
- ABSOLUTE ASSUMPTION OF RISK: The Renter acknowledges that the use of a mobile wood-fired sauna involves inherent thermal and physical risks, including hyperthermia, burns, slips, and cardiac strain. The Renter voluntarily assumes 100% full legal and financial responsibility for their own safety and the safety of any and all individuals, guests, occupants, invitees, or third parties who enter or use the sauna, trailer, or equipment while in their possession, regardless of whether the Renter explicitly permitted their presence.
- TOTAL RELEASE, WAIVER, AND INDEMNITY: Renter agrees to release, waive, and forever discharge Arc Sauna Rentals Inc., its directors, officers, employees, and agents from any and all claims, lawsuits, or demands arising out of the rental, under any circumstances whatsoever. Renter explicitly agrees to defend, indemnify, and hold harmless Arc Sauna Rentals Inc. against any third-party claims or lawsuits brought by any individual arising from this specific rental period.
- AGE RESTRICTIONS & MINORS: Children under 16 must have continuous adult (19+) supervision at all times. Minors under 18 must have a parent or legal guardian execute the Company's full physical liability waiver prior to equipment use.
- IMPAIRMENT PROHIBITION: Strictly zero tolerance for alcohol, cannabis, or drug impairment immediately prior to or inside the sauna. The Company holds zero liability for injuries sustained under any circumstances involving alcohol or drug involvement.
- CLIENT PROPERTY DAMAGE WAIVER: The Company assumes no legal or financial liability for any direct, indirect, or incidental damage caused to the Renter's personal or real property (including driveway surfaces, asphalt, paving stones, lawns, decks, landscaping, or utilities) resulting from the weight, placement, configuration, or operation of the towing rig or sauna asset.

6. MANDATORY PRE-DELIVERY DOCUMENTATION REQUIREMENT
By processing an online payment, the Renter explicitly acknowledges and agrees that this transaction is strictly conditional upon the formal electronic execution of three (3) mandatory core documents at least twenty-four (24) hours prior to scheduled delivery: (1) The Master Rental Agreement, (2) The Release of Liability, Waiver of Claims, and Assumption of Risks Agreement, and (3) The Client Operational & Safety Manual.

Failure or refusal to complete these electronic documents within the required timeframe constitutes a Renter-led cancellation, resulting in the immediate and full forfeiture of all advanced rental fees and delivery charges in accordance with Section 2 of these terms.

7. GOVERNING LAW
This agreement is governed entirely under the laws of the Province of Newfoundland and Labrador and the federal laws of Canada applicable therein. Any legal disputes must be arbitrated solely within provincial jurisdiction.
